Responsibilities
- Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy, demonstrating excellent phone etiquette.
- Manage front desk operations, including handling incoming inquiries, scheduling appointments, and maintaining a welcoming reception area.
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping.
- Support office management by organizing files, maintaining confidential information securely, and overseeing general clerical duties such as filing, proofreading, and document preparation.
- Assist with calendar management and scheduling meetings or appointments for team members or clients.
- Provide exceptional customer service by addressing client needs promptly and professionally through phone communication or in-person interactions.
- Support personal assistant tasks such as travel arrangements, calendar updates, and task prioritization to enhance overall office efficiency.
Qualifications
- Proven experience in an office environment with strong clerical skills and familiarity with office management practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic computer literacy.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Strong communication skills, both verbal and written; bilingual abilities are a plus.
- Demonstrated ability to handle confidential information discreetly with professionalism.
- Prior experience in customer service or front desk roles is preferred.
- Ability to perform data entry accurately while maintaining attention to detail; typing speed should be adequate for efficient workflow.
- Personal assistant experience or calendar management skills are advantageous.
