Position Summary
The Front Desk / Patient Representative plays a critical role in creating a positive first impression for our patients. This position is responsible for accurate and efficient patient registration, managing patient flow, and ensuring all documentation and financial processes are completed in compliance with practice standards.
This role requires professionalism, attention to detail, and the ability to thrive in a fast-paced healthcare environment.
Key Responsibilities
Patient Check-In & Registration Check Out
- Greet patients warmly and check them into the EMR system
- Verify and update patient demographic and insurance information
- Obtain and scan copies of driver’s licenses and current insurance cards
- Ensure all required documentation is completed, signed, and scanned into the EMR
- Confirm PCP, referring physician, specialist, home health, and hospital preferences
- Verify and document Advance Directive status
- Mark patients as ready for clinical staff in the EMR system
- Schedules patients follow up appointment(s)
Financial & Administrative Duties
- Collect copays and outstanding balances; post payments accurately
- Complete end-of-day reconciliation and balancing
- Scan checks and prepare deposits as needed
Compliance & Operations
- Adhere to OSHA and all federal and state regulatory standards
- Follow established policies and procedures
- Maintain a clean, organized, and welcoming lobby area
- Support departmental initiatives aligned with VIC’s strategic goals
- Interact professionally with providers, staff, patients, and partner organizations
- Maintain a clean work environment
Qualifications
Required
- High School Diploma or GED
- Minimum of 1 year of healthcare experience
- Strong communication and interpersonal skills
- Ability to multitask and prioritize effectively in a fast-paced setting
- Excellent problem-solving skills and attention to detail
Preferred
- Experience working with EMR systems
- Knowledge of current trends and developments in clinical practice
