We are seeking a detail-oriented and highly organized Purchasing Clerk to support our Purchasing and Supply Chain team. This position plays a critical role in managing purchase orders, coordinating imports and deliveries, maintaining supplier communication, and ensuring inventory is available to support business growth.
Key Responsibilities
Purchasing & Purchase Order Management
- Prepare, issue, and maintain purchase orders based on inventory requirements and business demands.
- Monitor open purchase orders and follow up with suppliers regarding production status and delivery schedules.
- Verify order accuracy, including quantities, pricing, specifications, and expected delivery dates.
- Update purchasing records and maintain accurate documentation.
Supplier Communication
- Communicate with domestic suppliers regarding order status, lead times, and shipment schedules.
- Assist in maintaining positive supplier relationships.
- Resolve issues involving delayed shipments, product discrepancies, shortages, or damaged goods.
- Support supplier performance tracking and evaluation.
Import & Logistics Coordination
- Assist with import documentation, including Entry Summary and shipping documents.
- Coordinate container shipments from overseas suppliers.
- Schedule truck deliveries and warehouse appointments.
- Work closely with freight forwarders, customs brokers, trucking companies, and warehouse personnel to ensure timely deliveries.
- Monitor inbound shipments and proactively address potential delays.
Administrative & Analytical Support
- Maintain purchasing databases, vendor records, and inventory reports.
- Generate purchasing, inventory, and vendor performance reports.
- Support supplier quotations, cost comparisons, and sourcing analysis.
- Assist with contract renewals and vendor evaluations.
- Ensure compliance with company purchasing procedures and policies.
Accounting Support
- Assist with invoice verification and purchase order matching.
- Work closely with Accounting to resolve discrepancies involving invoices, receipts, and vendor payments.
- Support cost tracking and purchasing-related reporting.
Qualifications
- 1+ year of purchasing, procurement, logistics, supply chain, inventory control, or related experience preferred.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Experience with ERP systems is a plus.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication and problem-solving skills.
- Experience with import logistics, customs documentation, freight coordination, or inventory management is highly preferred.
- Bilingual English and Chinese is a plus.

Pay: $23.00 - $28.00 per hour
