At Northern States Basement Systems, we're looking for an Administrative Support Specialist who is dependable, positive, and ready to be an important part of our growing company. No two days are exactly the same, so if you enjoy variety and staying busy, this could be the perfect fit.
What You'll Do
- Answer incoming phone calls on a multi-line phone system and provide exceptional customer service.
- Schedule appointments, estimates, and service calls.
- Coordinate calendars for our Sales and Service Specialists.
- Communicate with customers, vendors, and subcontractors.
- Create and maintain organized customer files and records.
- Send emails, scan documents, and perform general office duties.
- Assist the Owners and General Manager with daily tasks.
- Help keep the office organized, manage office supplies, keep the office clean, and welcoming.
What We're Looking For
- Excellent communication skills (both written and verbal).
- Strong organizational skills and attention to detail.
- Ability to multitask and adapt in a busy office environment.
- Comfortable using Microsoft Word and Excel.
- QuickBooks experience is a plus, but we're happy to train the right person.
- A positive attitude, strong work ethic, and willingness to jump in wherever needed.
- Someone who enjoys working with people and represents our company professionally.
- Previous assistant experience or previous roles in calendar management are advantageous
