The Specialist Recruitment Administrator is responsible for managing the post-offer and onboarding process for new hires, ensuring a smooth and compliant journey from offer acceptance through to start date. Working closely with recruiters, hiring managers, candidates, background screening providers, legal and compliance teams, the role coordinates pre-employment checks, employment eligibility requirements, visa and work permit processes, relocation support, and onboarding activities.
Acting as a key point of contact for stakeholders, the successful candidate will ensure all documentation, approvals, systems access, training schedules and onboarding requirements are completed accurately and on time, delivering an excellent candidate experience while maintaining compliance with internal and client processes.
- Managing account specific administration activities for the following scope of services: CV capturing, requisition management, interview scheduling, help desk support, candidate checklist management, candidate care, offer management, onboarding, invoice admin, updating applicant tracking system, identity & address verification and pre-employment screening
- Managing other various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating Operations Manual or other process documentation
- Completing reports and trackers accurately and to deadlines
- Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors and other account stakeholders
- Ensuring stakeholders and colleagues are continually appraised and updated on the relevant processes, including changes providing first line support for managing and resolving escalations
- Reviewing processes to identify areas of improvement
- Overseeing work allocation and reviewing accuracy of output for other (Senior) Recruitment Co-ordinators
- Effective English business communication skills, written and oral, plus any client specific languages as required
- Working knowledge of Microsoft packages; Outlook, Word, Excel
- Makes time to connect with colleagues and clients/stakeholders to develop constructive working relationships
- Considers whether requirements are realistic and in scope before making commitments
- Always acts with integrity and transparency, even when things aren’t going as planned
- Gains a clear understanding of client/stakeholder needs and explains how they can meet those requirements to build credibility

- We are committed to pay transparency and fairness. For this role, the initial expected remuneration is USD $50,000 - $66,500 , plus applicable benefits (Medical/Rx, Dental, Vision, Spending Accounts, Life, Disability, Voluntary Benefits, 401(k), Paid Holidays/Vacation/Sick Time, Paid Parental Leave, Performance Bonus)
