Position Summary
The Payroll Specialist is responsible for accurately processing payroll and ensuring compliance with all applicable regulations and company policies. This role requires strong technical expertise, attention to detail, excellent communication skills, and the ability to troubleshoot payroll-related issues in a fast-paced environment.

Key Responsibilities
Payroll Processing & Administration
- Process full-cycle payroll accurately and on schedule using ADP Vantage.
- Process and support multi-state payroll activities while ensuring compliance with applicable federal, state, and local regulations.
- Review and validate payroll inputs including new hires, terminations, compensation changes, bonuses, benefit deductions, and one-time payments.
- Maintain payroll records, employee data, tax elections, direct deposit information, and supporting documentation while ensuring confidentiality and data integrity.
- Ensure payroll transactions comply with federal, state, local, and company requirements.
Payroll Reconciliation & Reporting
- Analyze payroll data to identify discrepancies, trends, and potential compliance issues.
- Perform payroll audits and reconciliations prior to payroll submission.
- Reconcile payroll activity and assist Finance with payroll-related reporting and account analysis.
- Generate payroll reports and utilize Excel functions such as PivotTables, VLOOKUP, and related data analysis tools.
Employee Support & Issue Resolution
- Serve as a primary point of contact for employee payroll inquiries.
- Investigate and resolve payroll discrepancies, tax issues, timekeeping concerns, and system-related errors.
- Partner with HR and Finance to resolve complex payroll situations and ensure a positive employee experience.
Compliance & Continuous Improvement
- Support compliance with federal, state, and local payroll regulations.
- Assist with payroll audits, reporting requirements, and year-end payroll activities.
- Support process improvement initiatives designed to increase payroll efficiency, accuracy, and scalability.
- Participate in payroll system testing, documentation, and workflow optimization efforts.
Required Qualifications
- Experience with ADP products or comparable payroll/HCM systems.
- Experience with multi-state payroll processing.
- Experience with payroll audits and reconciliations.
- Proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP, and data analysis functions.
- Strong understanding of payroll regulations and payroll best practices.
- Ability to independently troubleshoot and resolve payroll issues.
- Excellent communication and interpersonal skills.
- High attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Experience supporting Canadian payroll.
- Process improvement or workflow optimization experience.
- Bilingual in French (written and verbal).
- CPP (Certified Payroll Professional) designation or pursuit of certification.
Education & Experience
- Bachelor’s degree in Accounting, Finance, Business, Human Resources, or a related field preferred.
- Equivalent combination of payroll experience and education will be considered.
