Job Overview
We are seeking a dynamic and highly organized Automotive Service Administrator to join our fast-paced dealership team. In this vital role, you will serve as the central point of contact for all service department operations, ensuring smooth communication between customers, technicians, and management. Responsibilities
- Coordinate daily service department activities, including scheduling appointments and managing workflow to maximize efficiency.
- Greet customers warmly, listen to their vehicle concerns, and accurately document service requests.
- Assist technicians with automotive diagnostics, repair estimates, and service writing to ensure clear communication of work needed.
- Promote additional services such as oil changes, tire services, brake repairs, alignments, suspension work, and transmission repairs to increase sales opportunities.
- Handle cash transactions and process payments accurately while maintaining detailed records of all financial activities.
- Maintain comprehensive records of vehicle repairs, estimates, and customer interactions using computer-aided vehicle damage estimating software.
- Support dealership sales efforts by providing excellent customer service and facilitating vehicle sales when appropriate.
- Collaborate with mechanics and service technicians to ensure timely completion of repairs including collision repair, diesel engine work, air brake systems, shocks & struts, and auto body repairs.
- Uphold high standards of automotive knowledge across various systems such as transmissions, oil changes, wheel alignments, suspension components, and tire services.
- Ensure compliance with safety protocols and maintain a clean and organized service department environment.
Qualifications
- Proven experience in auto service management or dealership service departments with a strong understanding of automotive diagnostics and repair processes.
- Mechanical knowledge complemented by hands-on mechanic or technician experience is highly desirable.
- Familiarity with auto estimating software and computer-aided vehicle damage estimating tools.
- Excellent customer service skills with the ability to upsell additional services confidently and professionally.
- Strong organizational skills with attention to detail in record keeping and cash handling procedures.
- Knowledge of automotive systems including transmissions, oil changes, collision repair, air brakes, alignment, suspension systems, tire services, diesel engines, shocks & struts, brake repairs, and auto body work.
- Valid driver’s license with a clean driving record; driving experience preferred.
- Ability to communicate effectively both verbally and in writing in a fast-paced environment.
