Position Summary
The Development Operations & CRM Administrator serves as the primary administrator of Canvasback’s donor database and fundraising systems. This position ensures every donation is processed accurately, every donor record is maintained with excellence, and our development team has the reliable information needed to cultivate meaningful relationships with supporters.
While the immediate priorities are CRM administration and gift processing, this role will also help strengthen the operational foundation that supports fundraising across the organization.
Primary Responsibilities
CRM Administration (45%)
- Serve as the primary administrator of Canvasback’s nonprofit CRM (Neon CRM).
- Maintain accurate donor and constituent records.
- Perform ongoing database maintenance, duplicate management, and data quality audits.
- Create reports, queries, mailing lists, and donor segments.
- Manage data imports, exports, and system integrations.
- Identify opportunities to improve CRM functionality and organizational efficiency.
- Provide CRM support and training to staff as needed.
Gift Processing & Donor Records (35%)
- Accurately process and record all charitable contributions.
- Reconcile donations with accounting records and financial reports.
- Process online, mailed, recurring, stock, and other gifts.
- Generate tax receipts and donor acknowledgments.
- Ensure all gift records meet organizational policies and nonprofit best practices.
- Maintain confidential donor information with professionalism and discretion.
Development Operations & Reporting (20%)
- Produce fundraising reports and dashboards for leadership and the Board of Directors.
- Support fundraising campaigns with donor segmentation, mailing lists, and reporting.
- Assist with donor stewardship initiatives, annual appeals, and fundraising events.
- Continuously improve development workflows and operational processes.
- Collaborate with Finance and leadership to ensure accurate reporting and reconciliation.
- Help evaluate and implement tools, automations, and systems that strengthen fundraising operations.

Preferred Experience
- Two or more years of experience administering a CRM or donor database.
- Experience processing charitable contributions and donor acknowledgments.
- Experience working in fundraising or development operations.
- Strong proficiency with Microsoft Excel or Google Sheets.
- Experience with donor CRM platforms such as Neon CRM, Bloomerang, DonorPerfect, Little Green Light, Salesforce Nonprofit Cloud, Raiser’s Edge, or similar systems.
- Experience with QuickBooks or similar accounting software
