La Casa de Esperanza is looking for a Front Office Coordinator who enjoys helping people, staying organized, and being part of a team that makes a difference in the community.
In this position, you will be one of the first people our Weatherization customers encounter. You will help customers understand available programs, assist with applications and documentation, coordinate appointments, answer questions, and connect people with the staff and resources they need.
You do not need to be a Weatherization expert to be successful in this position. We are looking for someone with excellent customer service skills, professionalism, organization, attention to detail, and a willingness to learn. Experience in Weatherization, construction, energy assistance, or office administration is a plus.
What You’ll Do
Be the Face of Our Program
· Welcome customers, visitors, contractors, property managers, and community members in a friendly and professional manner.
· Answer phones, emails, and general inquiries.
· Help customers understand Weatherization services and other available community resources.
· Connect customers with the appropriate staff member or department.
· Respond professionally to customer questions and concerns.
· Maintain a welcoming, organized, and professional front-office environment.
Help Customers Access Services
· Assist potentially eligible households with accessing Weatherization services.
· Help customers complete applications and provide required documentation.
· Process Weatherization applications and customer information in program computer systems.
· Review and verify application information.
· Communicate with customers throughout the application and eligibility process.
· Follow up with customers to obtain missing information and documentation.
· Maintain accurate and confidential customer records.
Keep the Program Moving
· Assist with scheduling energy audits, insulation work, and other Weatherization activities.
· Update program schedules and communicate changes to Weatherization staff.
· Coordinate with Energy Auditors and Energy Assistance staff regarding customer status and documentation.
· Communicate with customers about appointments, next steps, and service expectations.
· Complete required documentation and compliance checklists.
· Help ensure customer files are complete and ready for the next stage of the Weatherization process.
Support Community Outreach
· Participate in community outreach activities and events.
· Help identify households that may qualify for Weatherization services.
· Develop positive relationships with potential customers.
· Assist with outreach to multi-unit properties, tenants, and property managers.
· Help the Weatherization team meet program and production goals.

Minimum Qualifications
· High school diploma, GED, or equivalent experience.

· Strong customer service and communication skills.
· Basic computer skills and the ability to learn new software.
· Strong organizational and time-management skills.
· Ability to manage multiple responsibilities and meet deadlines.
· Ability to maintain confidential customer information.
· Ability to work effectively with a diverse range of customers and staff.
· Valid driver’s license.
· Ability to speak and understand English.
Previous office, receptionist, administrative, customer service, or related experience is preferred, but not required.

Weatherization or construction experience is a plus—but it is not required. Training will be provided.

Compensation
$19.00–$24.00 per hour, based on qualifications and experience.
