We are seeking a dynamic and highly organized Personal Assistant specializing in Law Care to support legal professionals and executives in managing their daily operations efficiently. Responsibilities
- Manage and coordinate comprehensive calendars for legal professionals, including scheduling meetings, court dates, client appointments, and internal deadlines using Microsoft Outlook Calendar and Google Workspace.
- Prepare, review, and organize legal documents, correspondence, reports, and transcription tasks with precision and confidentiality.
- Facilitate communication between clients, attorneys, court officials, and internal teams through phone etiquette, email correspondence, and video conferencing software such as Zoom or Microsoft Teams.
- Assist with project coordination for legal cases or initiatives by tracking deadlines, organizing files, and ensuring timely completion of tasks using productivity software like Microsoft Office and project management tools.
- Handle office management duties including filing, data entry, bookkeeping with QuickBooks, managing multi-line phone systems, and maintaining organized records in compliance with confidentiality standards.
- Arrange business travel accommodations and prepare detailed itineraries for legal professionals attending conferences or court appearances.
- Support event planning efforts for client meetings or internal seminars by organizing logistics, sending invitations via DocuSign or email, and coordinating venue arrangements.
- Maintain internal communication channels to ensure all team members are informed of updates or changes related to ongoing cases or projects.
Skills
- Proven experience as a personal assistant or executive administrative support within a legal or law-related environment.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and productivity software.
- Technical proficiency with video conferencing tools (Zoom, Microsoft Teams), multi-line phone systems, and digital signing platforms like DocuSign.
- Excellent typing speed coupled with accurate data entry skills; familiarity with transcription is a plus.
- Experience with bookkeeping software such as QuickBooks along with basic office management duties including filing and record keeping.
- Effective communication skills—both written and verbal—with a professional phone etiquette approach when handling confidential information.
- Ability to collaborate seamlessly with C-suite executives and legal teams while maintaining discretion at all times.
- Knowledge of project management principles to assist in organizing events or case-related activities efficiently.
