Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
- Coordinate calendar management and schedule appointments for team members and clients with precision
- Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents
- Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping
- Provide excellent customer support by addressing inquiries via phone or email, demonstrating strong phone etiquette and client communication skills
- Support office management tasks such as ordering supplies, managing office equipment, and overseeing general administrative functions
Requirements
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and spreadsheet creation
- Demonstrated computer literacy with the ability to learn new software quickly and efficiently
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong communication skills, including phone communication and bilingual capabilities (preferred)
- Experience with data entry, proofreading, filing systems, and maintaining accurate records
- Knowledge of QuickBooks or bookkeeping experience is highly desirable
- Previous experience as a receptionist or personal assistant is advantageous
- Ability to handle sensitive information discreetly while providing outstanding customer service
- Technical proficiency in office equipment such as multi-line phones, printers, and scanners
