Position Summary
Green Fields School is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the school's leadership and administrative operations. This full-time, on-site role is central to the smooth day-to-day functioning of the campus and requires someone who thrives in a fast-paced, people-focused environment. The ideal candidate brings strong administrative skills, excellent communication, and a genuine enthusiasm for early childhood education.
Key Responsibilities
- Provide comprehensive administrative support to school leadership, including calendar management, scheduling, and correspondence
- Serve as the primary point of contact for internal staff, families, vendors, and external partners
- Coordinate and prepare materials for meetings, events, and school communications
- Assist with onboarding and offboarding of staff, including document collection and orientation logistics
- Manage office supplies, vendor relationships, and facilities coordination
- Support HR-related administrative tasks including maintaining employee files and tracking compliance documents
- Assist with grant coordination, reporting deadlines, and document management
- Handle sensitive and confidential information with the utmost discretion
- Coordinate logistics for school events, carnivals, parent engagement activities, and campus programs
- Perform general office duties including filing, data entry, and maintaining organized records
Qualifications
Required:
- Bachelor's degree or equivalent combination of education and experience
- 2+ years of experience in an administrative, executive assistant, or office management role
- Excellent written and verbal communication skills in English
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Exceptional organizational skills with strong attention to detail
- Ability to prioritize and manage multiple tasks in a dynamic environment
- Professional demeanor and strong interpersonal skills
Preferred:
- Experience in an educational, nonprofit, or childcare setting
- Experience with vendor management or facilities coordination
Pay: $35,000.00 - $40,000.00 per year
