What we need-
We are seeking a full-time detail-oriented accounting manager. This person will be responsible for daily upkeep of accounts for our demolition company, short-term rental investment properties and managing reconciliation of daily sales in our retail warehouse. The ideal candidate is dependable, detail oriented, able to communicate effectively with office staff, field personnel, and company leadership. This is not an entry level position and will entail a broad range of accounting that will involve in house payroll, tax reporting, and extensive reconciling of accounts at all levels. The ideal candidate will have a strong background in accounting, be capable of complex problem solving, and ability to work in a fast-paced environment. This is not an AR/AP position.
Primary Responsibilites-
- We process payroll directly through Quickbooks desktop weekly. We would like someone familiar with this process including new hire reporting, garnishments, and all associated tax reporting
- Full-cycle bookkeeping in QuickBooks Desktop for the demolition company and the rental property entity including intercompany accounting and reconciliations.
- Class-based accounting and division-level P&L
- Daily reconciliation of 3 bank accounts
- Accounts payable: payment runs as necessary
- Record and reconcile daily used item resale transactions; prepare and remit Florida sales tax (DR-15) monthly
- Monthly reconciliation of all bank accounts and merchant/payout accounts (PayPal/eBay)
- Track intercompany activity between entities and reconcile due-to/due-from balances monthly
- Maintain fixed assets, depreciation, and loan/debt schedules (equipment, vehicles, properties, lines of credit)
- Working knowledge of job costing. Clear understanding of cash flow management, budgeting, and financial reporting.
- Record Airbnb/VRBO platform payouts, cleaning and management costs, and property-level expenses
- Prepare and remit sales tax as applicable
- Track owner draws and distributions between entities
- Manage the company compliance calendar: sales tax, payroll filings, and audit deadlines — nothing files late
- QuickBooks Desktop expertise is non-negotiable
- 5+ years of full-charge bookkeeping or equivalent hands-on accounting experience- knowledge and implementation of GAAP accounting principles
- In-house payroll processing experience for 50+ employees, including quarterly and annual federal filings
- Ability to manage multiple priorities while maintaining a high level of accuracy
- Experience with multi-entity books and/or class-based accounting
- Sales tax preparation and remittance experience
- Strong Excel skills for reporting and reconciliation support
- Very organized, deadline-driven, and comfortable owning a compliance calendar
- A team player — we are a small office, and this person works shoulder-to-shoulder with operations, office manager, and the owner every day

Pay: $72,000.00 - $76,000.00 per year
