Role Summary
The Project Coordinator is responsible for driving the administrative and operational backbone of the business. This role ensures that every job is properly scheduled, documented, billed, and communicated from start to finish. The Coordinator serves as the central hub between sales, production, customers, and vendors, maintaining system accuracy, enforcing compliance, and keeping all moving parts aligned so jobs progress efficiently and cash flow remains consistent.
Responsibilities
- Manage scheduling of jobs, crews, and subcontractors
- Coordinate subcontractors and vendors, including payment processing
- Handle accounts payable and accounts receivable collections
- Generate, send, and track invoices
- Follow up on pending estimates for approval and authorization
- Allocate expenses and maintain financial records in QuickBooks Online
- Maintain job records and compliance within DASH (job updates, missing activity, data quality reporting)
- Manage employee records and job workflows in DASH
- Answer office phone and email communications
- Maintain office organization, cleanliness, and supplies
- Request and respond to Google Reviews
- Perform post-job QA follow-ups with customers
- Track bill payments and maintain financial organization
Qualifications
- Experience in administrative, coordinator, or operations roles
- Preferred experience in restoration, construction, or home services industries
- Strong organizational and time management skills with the ability to manage multiple workflows simultaneously
- High attention to detail and accuracy in data entry and financial tracking
- Proficiency with accounting systems and job management platforms (e.g., QuickBooks Online, CRM tools)
- Strong written and verbal communication skills
- Ability to coordinate across multiple teams and priorities in a fast-paced environment
Pay: $24.00 - $27.00 per hour
