Position Summary
The Export Shipping Documentation Specialist is responsible for ensuring all export paperwork is accurate, complete, and compliant for single- and multi-container shipments. This role centers on creating India Customs documents, preparing commercial invoices for India and Asia, assembling document packets, and coordinating timely delivery of documents to customers and partners. Strong attention to detail, organizational skills, and proficiency with Google Workspace, QuickBooks, and NetSuite are essential.
Key Responsibilities
- Prepare and manage complete export documentation packages for single-container and multi-container loads, ensuring accuracy and compliance with all applicable regulations.
- Create India Customs documents and related export paperwork required for shipments to India.
- Generate commercial invoices (single and multi-container) and ensure alignment with shipping details, weights, container numbers, and customer requirements.
- Compile and organize document packets for mailing to customers on designated loads.
- Email complete document sets to customers, freight forwarders, and internal stakeholders in a timely manner.
- Maintain organized digital and physical records of all shipping and export documentation using Google Drive, Google Docs, and Google Sheets.
- Enter and update shipment, invoicing, and documentation data in QuickBooks and NetSuite.
- Coordinate with internal teams (operations, sales, accounting) and external partners to resolve documentation discrepancies quickly.
- Track shipment status and documentation requirements to meet deadlines and support smooth export processes.
- Perform other related duties as assigned to support the export and shipping function.
Required Qualifications & Skills
- Proven experience preparing export shipping documentation, preferably including customs documents for international shipments (India experience strongly preferred).
- Hands-on experience invoicing single- and multi-container loads.
- Proficiency with Google Docs, Google Sheets, and Google Drive.
- Working knowledge of QuickBooks and NetSuite (or similar ERP/accounting systems).
- Strong attention to detail and organizational skills with the ability to manage multiple shipments and deadlines simultaneously.
- Excellent written and verbal communication skills for clear customer and internal correspondence.
- Ability to work accurately under time pressure in a fast-paced environment.
- High school diploma or equivalent required; additional training or certification in logistics, customs, or international trade is a plus.
Preferred Qualifications
- Prior experience in the scrap metal, recycling, or commodities export industry.
- Familiarity with ocean freight documentation (commercial invoices, packing lists, bills of lading, certificates of origin, etc.).
- Knowledge of basic Incoterms and U.S. export compliance practices.
