Part-Time Bookkeeper / Administrative Assistant
Reports to: Chief Financial Officer
Location: Fully remote (CFO is based on the West Coast, U.S.)
Hours: 10–15 hours/week (flexible scheduling)
Compensation: $23.00+/hour, depending on experience
Employment Type: This role will begin as a 1099 independent contractor position, with the intent to transition to part-time W2 employment within 90 days, contingent on fit and performance.

About the Role
We're looking for a detail-oriented Bookkeeper / Administrative Assistant to support our finance function on a part-time, fully remote basis. This role owns day-to-day bookkeeping and month-end close, while also providing light administrative support to the CFO. The emphasis is on accounting and bookkeeping. Our accounting function is highly automated — much of the manual data entry has been eliminated through AI tools — so this role is less about repetitive transaction entry and more about reviewing, validating, and ensuring the accuracy of AI-driven bookkeeping processes. If you do not have prior bookkeeping experience, this may not be the right role for you.
Key Responsibilities
- Manage daily bookkeeping operations in QuickBooks Online
- Categorize and reconcile expenses in Brex (our credit card and expense management platform)
- Own the month-end close and reconciliation process, reviewing final work with the CFO
- Identify and record accruals accurately
- Record payroll transactions processed through a third-party payroll provider
- Validate the output of AI tools and automated workflows used across the accounting department to ensure accuracy and catch discrepancies
- Provide occasional executive support and administrative assistance to the CFO as needed
- While the schedule for this role is flexible, we expect the bulk of hours to originate during the beginning of the month to support month-end close
Qualifications
- Proficiency in QuickBooks Online (required)
- Strong working knowledge of Microsoft Office (Excel, Outlook, Word)
- Understanding of basic accounting concepts, including accruals and reconciliations
- Comfort working with AI-assisted tools and reviewing automated outputs for accuracy
- Strong attention to detail and ability to work independently
- Prior experience with Brex or similar expense management platforms is a plus
- Experience supporting executives or handling light administrative tasks is a plus
- Comfortable working remotely and coordinating across time zones with a West Coast-based CFO
An ideal candidate would have familiarity with software as a service accounting in addition to working with Performing Arts Venues and Theaters.
