Premiere Aesthetics Institute is hiring a dependable, professional, and organized Administrative Assistant for our Post Falls campus. This is an evening front desk and administrative support position working Monday through Thursday from 4:00 PM to 9:30 PM.
This role is a key part of our campus operations and student spa experience. The Administrative Assistant serves as one of the first points of contact for students, clients, prospective students, and visitors while supporting scheduling, front desk operations, administrative tasks, student spa services, and campus organization.
The ideal candidate is friendly, detail-oriented, reliable, comfortable working in a fast-paced environment, and able to provide excellent customer service while maintaining professionalism and confidentiality.
Responsibilities
- Greet and assist students, clients, prospective students, and visitors in a professional and welcoming manner.
- Answer and route phone calls, respond to inquiries, and direct individuals to the appropriate staff member.
- Schedule and coordinate student spa appointments, model appointments, campus tours, meetings, and related scheduling needs.
- Rebook student spa clients after completed services to support client retention and the student spa experience.
- Maintain accurate records, including appointment logs, client files, payment documentation, and other administrative records.
- Follow established cash handling procedures, including end-of-day till closeout and required end-of-day reporting.
- Perform general clerical duties such as copying, scanning, filing, printing, and preparing materials.
- Assist with admissions-related tasks, including collecting applications, preparing tour folders, supporting communications with prospective students, and helping prepare enrollment materials as directed.
- Conduct school tours as needed and provide prospective students with a professional and informative campus experience.
- Assist with retail displays, product organization, inventory tracking, and supply needs as directed.
- Maintain a clean, organized, and professional front desk, lobby, retail, and administrative area.
- Uphold school policies, confidentiality standards, and professional communication expectations.
Qualifications
- High school diploma or equivalent required.
- Prior front desk, administrative, admissions, scheduling, or customer service experience strongly preferred.
- Esthetician license or spa, salon, clinic, or beauty industry experience preferred but not required.
- Strong communication and customer service skills.
- Excellent organization, attention to detail, and follow-through.
- Comfortable using computers, email, Microsoft Office, scheduling systems, and data-entry systems.
- Ability to manage multiple tasks in a busy educational and student spa environment.
- Professional, dependable, positive, and able to work well with students, clients, instructors, and staff.
- Must be available to work Monday through Thursday from 4:00 PM to 9:30 PM.
Work Environment
This position works in a professional esthetics school environment, including front desk, administrative, retail, classroom, and student spa areas. The role requires regular interaction with students, instructors, clients, prospective students, and campus leadership.
Physical Requirements
- Ability to sit or stand at a front desk workstation for extended periods.
- Ability to move between reception, clinic, classroom, and storage areas as needed.
- Ability to lift or move up to 20 pounds occasionally.
