ABOUT THIS POSITION

The City of Phoenix Water Services Department, one of the nation's largest potable water utilities, treats and delivers safe, reliable drinking water to 1.5 million customers across approximately 540 square miles. Phoenix Water Services also manages the sewer collection system and treats wastewater for 2.5 million residents in metropolitan Phoenix.

The Secretary III classification performs responsible administrative and varied clerical work and provides administrative support for City middle managers and executive level staff. This classification is Citywide and responsibilities may vary from department to department. Primary duties involve a variety of support functions for all levels of staff and providing back up support for other department administrative staff.

IDEAL CANDIDATE

Ability to learn quickly, multitask well, prioritize effectively and support Middle Managers and/or Executive level staff with effective communication skills.
Knowledgeable of computer database applications and the ability to maintain and query data.
Proficiency using advanced Microsoft Office functions in Word, Excel, and PowerPoint.
Ability to handle multiple and conflicting work priorities.

SALARY

Pay Range: $21.02 to $29.58 per hour.

Hiring Range: $21.02 to $26.83 per hour.

Promotions occur when the last two digits of the pay grade increase.
Demotions occur when the last two digits of the pay grade decrease.
Lateral transfers occur when there is no change to the last two digits of the pay grade.
When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

Three years of progressively responsible secretarial experience, including training in typing and the use of modern office software and equipment.
Other combinations of experience and education which meet the minimum requirements may be substituted.
All finalists for positions are subject to a criminal background check applicable to the department or position.
Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

- Tracking expenditures and reconciling invoices or similar.
- Using financial procurement systems, such as SAP/SRM.
- Working with digital records management systems.
- Transcribing meeting notes for distribution.
- Related to writing reports and documents.
- Providing support to staff or volunteers.
- Office Suites Word, Excel, PowerPoint.
- Procurement and data management.
- Scheduling meetings or trainings.
- Outlook scheduling/ calendaring.
- Experience with creating reports.
- Entering data into computer.
- Using Adobe Acrobat Pro.
- Working with deadlines.
- Ordering supplies.
- Task prioritization.
