Job Description:
Are you a highly organized and efficient individual with a background in construction or project management? We are seeking a dynamic Office Secretary/Executive Assistant to join our team at Florida Value Homes. As an Office Secretary/Executive Assistant, you will play a pivotal role in supporting the executive team and ensuring the smooth operation of daily activities.
Key Responsibilities:
- Greet customers who walk into the office and set them up with the appropriate people.
- Maintain office environment, ordering supplies, checking the mail, updating business licenses and ensuring the customer has a good experience at the lot.
- Efficiently manage executive inbox, prioritize emails, and draft responses as necessary.
- Manage basic accounting tasks and tracking; accounts payable and receivable.
- Maintain meticulous filing systems, both digital and physical, ensuring easy retrieval of documents.
- Manage and coordinate communication, both internal and external, including emails and phone calls.
- Utilize Google Drive and Gmail proficiently for document management and communication.
- Be highly organized and proactive, anticipating the needs of the executive team and taking preemptive action.
- Assist with administrative tasks such as scheduling meetings, arranging travel, and preparing reports.
- Maintain confidentiality and discretion in handling sensitive information.
Requirements:
- Minimum of 2 years of experience in a similar support or office role.
- Proficiency in Google Drive and Gmail.
- Typing speed of at least 30 words per minute.
- Background in construction or project management preferred.
- Ability to pass a background check and willingness to undergo a credit check.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Attention to detail and accuracy in all tasks.
- Ability to work independently and prioritize tasks effectively.
Experience:
- Google Suite: 2 years (Required)
