About the Role
This isn't your typical Executive Assistant position.
You'll serve as the trusted partner to our Chief Executive Officer, Chief Operating Officer, Director of HR, and Director of Project Management, helping drive communication, organization, and execution across our growing organization.
You'll work at the center of executive leadership, construction operations, recruiting, project management, and strategic initiatives—playing a key role in helping Ironcore continue its growth throughout California.

What You'll Do
As our Executive Assistant, you'll become the operational backbone of our leadership team by:
- Managing complex executive calendars, meetings, travel, and priorities
- Coordinating executive, operational, staffing, forecasting, and project meetings
- Preparing executive presentations, reports, correspondence, agendas, and briefing materials
- Recording meeting minutes, tracking action items, and ensuring accountability
- Managing sensitive communications with clients, consultants, subcontractors, and partners
- Supporting project reporting, dashboards, staffing plans, and executive initiatives
- Coordinating recruiting activities and onboarding
- Organizing confidential executive, financial, legal, and corporate records
- Drafting polished business communications and presentations
- Leading special projects and helping improve company processes
- Keeping multiple departments aligned while ensuring deadlines never fall through the cracks

Qualifications
We're looking for someone who brings:
- 5+ years supporting executives or senior leadership
- Experience supporting multiple executives simultaneously
- Strong organizational and project coordination skills
- Outstanding written and verbal communication
- Advanced Microsoft 365 skills including Outlook, Word, Excel, Teams, PowerPoint, and SharePoint
- Experience with Procore (or similar), DocuSign, or project management software is a plus
- Construction, real estate development, architecture, engineering, or professional services experience is highly preferred
