Position Overview
We're seeking a dependable and highly organized Real Estate Transaction Assistant to become an integral part of our closing team.
Working directly with our Senior Processor and Owner/Attorney, you'll assist with residential real estate transactions from the moment a file is opened through the completion of the closing process. This role combines administrative support, client communication, document management, and transaction coordination while providing extensive hands-on training.
Previous title experience is not required; however, candidates with experience in real estate, mortgage lending, escrow, legal services, transaction coordination, or title insurance are strongly preferred. We are looking for someone who understands the basic flow of a real estate transaction, enjoys learning new skills, and is interested in building a long-term career within the industry.

Key ResponsibilitiesTransaction Coordination
- Assist with residential real estate/ title transactions from file opening through post-closing.
- Work alongside the Senior Processor and Title Attorney to keep files progressing efficiently.
- Monitor transaction timelines and assist in meeting important contractual deadlines.
- Request outstanding documents and follow up with clients and transaction partners.
- Learn each phase of the closing process while gradually taking on additional responsibilities.
File Management & Processing
- Create and organize new files using Qualia.
- Review contracts and supporting documentation for completeness.
- Order title searches, lien searches, municipal searches, tax certificates, and other required services.
- Research county records, deeds, parcel information, tax records, and other property-related documents.
- Verify property information and assist with maintaining accurate transaction records.
- Prepare closing documents, title policies, and post-closing packages.
- Assist with electronic recording and final file completion.
Customer Service & Communication
- Communicate professionally with buyers, sellers, Realtors, lenders, attorneys, underwriters, and vendors.
- Respond to phone calls and emails promptly and professionally.
- Provide updates throughout the transaction process.
- Build strong working relationships through excellent customer service.
Office Administration
- Support daily office operations and administrative tasks.
- Maintain organized electronic files and document management systems.
- Assist with scheduling, workflow coordination, and general office projects.
- Help maintain an efficient and organized work environment.
Training & Career Development
- Receive comprehensive training in residential real estate closings.
- Learn Qualia software, title procedures, and internal workflows.
- Cross-train in multiple areas of the business.
- Continue developing new skills with opportunities for increased responsibility over time.
QualificationsRequired
- High school diploma or equivalent.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Word, Outlook, and Excel.
- Ability to manage multiple priorities in a fast-paced office.
- Positive attitude with a willingness to learn.
- Professional, dependable, and collaborative work ethic.
Preferred
- Previous experience with a title company, mortgage company, escrow company, real estate office, law firm, or similar transaction-based environment.
- Familiarity with residential real estate terminology and the closing process.
- Experience using Qualia or comparable title software.
- Knowledge of title insurance, escrow, or closing documentation.
- Bilingual (English/Spanish) preferred.

Pay: $18.00 - $22.00 per hour
