Client Experience & Inside Sales CoordinatorAbout the Opportunity
A growing professional services organization is seeking a polished, motivated, and dependable Client Experience & Inside Sales Coordinator.
This role combines client service, prospect follow-up, scheduling, event support, CRM management, and front-office responsibilities. You will often be the first point of contact for clients and prospective clients and will play an important role in creating a professional, welcoming, and responsive experience.
This is not simply a receptionist position. The right person will be comfortable answering phones and greeting clients while also making prospect follow-up calls, coordinating a busy calendar, updating records, supporting events, and helping the team wherever needed.
This may be a strong opportunity for an ambitious recent college graduate with relevant internship, customer service, administrative, leadership, or sales experience. Candidates with professional experience in client service, inside sales, sales support, healthcare, insurance, financial services, or similar environments are also encouraged to apply.
Key ResponsibilitiesClient Experience & First Impressions
- Answer incoming calls and greet clients, prospects, and visitors professionally.
- Maintain a polished and welcoming front-office and meeting environment.
- Prepare meeting rooms and refreshments as needed.
- Direct questions and messages to the appropriate team member.
- Provide general administrative and office support.
Prospect Follow-Up & Inside Sales Support
- Make outbound calls to individuals who have expressed interest in the organization’s services.
- Follow up with prospects who have not yet scheduled or completed an appointment.
- Build rapport, answer basic process questions, and help prospects understand their next step.
- Schedule, confirm, and reschedule appointments.
- Maintain an organized prospect pipeline and complete timely follow-up.
- Accurately document calls, outcomes, and next steps in the CRM.
Scheduling & Calendar Coordination
- Coordinate appointments across multiple calendars in a fast-paced environment.
- Use good judgment when determining appointment type, team member, location, timing, and preparation needs.
- Identify conflicts or scheduling concerns before appointments are confirmed.
- Adjust quickly when schedules change and communicate updates clearly.
- Maintain accurate appointment information across applicable systems.
Client & Administrative Support
- Communicate professionally with clients and prospects by phone, email, and in person.
- Remain calm and helpful when someone is frustrated, confused, or concerned.
- Recognize when an issue should be escalated and ensure proper follow-through.
- Assist with appointment preparation, client information, forms, reminders, reports, spreadsheets, and special projects.
- Maintain accurate and confidential client and prospect information.
Events & Seminars
- Assist with educational events, seminars, and client programs.
- Help coordinate materials, attendee information, reminders, appointments, and follow-up.
- Support event preparation, setup, and occasional on-site needs.
- Maintain reasonable flexibility for occasional events outside normal business hours.
Systems & Operations
- Maintain accurate CRM records, tracking documents, and reports.
- Follow established workflows, scripts, checklists, and procedures.
- Learn and use new technology and AI-supported business tools.
- Identify missed follow-up, incomplete information, or potential service gaps.
- Look for practical ways to improve efficiency and the client experience.
- Assist with additional team and business needs as assigned.

Pay: $23.00 - $28.00 per hour
