Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
- Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and accessibility
- Manage calendar appointments, schedule meetings, and coordinate office events using Google Workspace or Microsoft Office tools
- Support bookkeeping tasks including QuickBooks entries and petty cash management
- Assist with office management duties such as supply inventory, equipment maintenance, and general organization
- Provide exceptional customer support by addressing inquiries promptly and courteously in person or via phone or email
- Perform clerical tasks such as photocopying, faxing, mailing, and record keeping to streamline office operations
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Experience with multi-line phone systems and phone etiquette in a professional setting
- Bilingual abilities are highly valued for effective communication with diverse clients and team members
- Familiarity with QuickBooks or bookkeeping is a plus for handling basic financial tasks
- Previous roles involving customer service or reception duties such as dental or medical receptionist experience are advantageous
- Strong organizational skills with the ability to multitask efficiently while managing time effectively
- Personal assistant experience or office management background will be considered beneficial
