The person at our front desk is the first impression, the traffic controller, and the reason the rest of the team can do their jobs without interruption. About the Role
This is a demanding front desk position in a fast-paced practice, not a quiet lobby job. You will manage a steady stream of inbound calls, greet clients who may be anxious or upset, keep multiple calendars accurate to the minute, and make sure nothing falls through the cracks. You will report to our Operations Director and take direction daily from attorneys and senior staff. We are direct about what this job demands, because we would rather you know now than find out later. The front desk must be covered when the office opens. Our systems change and improve regularly, and this role is expected to keep up. And this seat works for the whole team, which means taking feedback and assignments without friction.
What You Will Do
- Answer and route a high volume of inbound calls with professionalism and warmth
- Greet clients and visitors, in person and by phone, and set the tone for their experience with the firm
- Schedule and confirm appointments across multiple calendars, resolving conflicts before they happen
- Keep client files, notes, and contact records accurate and current in our CRM and Google Workspace
- Learn new software and workflows as the firm adopts them, and become the person others ask for help
- Handle sensitive client information with complete discretion
- Support the team with data entry, filing, supply orders, and general office upkeep
- Serve as a reliable first resource for client questions, knowing when to answer and when to route
What We Require
These are firm requirements. Please apply only if you meet all of them.
- 2+ years of receptionist, scheduling, or front desk experience in a legal, real estate, financial services, healthcare, or comparable high-volume professional practice.
- Punctual, dependable attendance. The front desk opens at 9:00 am sharp with no backup coverage. We ask every reference about attendance, and chronic lateness in a prior role is disqualifying.
- Coachability and a team-first attitude. You take direction from multiple people, accept feedback professionally, and pitch in without being asked.
- Strong technical aptitude with a demonstrated history of learning new software quickly. Candidates complete a brief hands-on systems exercise during the interview process.
- Demonstrated experience managing calendars and scheduling for multiple professionals at once
- Proficiency with Google Workspace and comfort in a CRM or case management system
- Excellent written and verbal English communication
What Sets Candidates Apart
- Experience in a law firm, especially in real estate, foreclosure, or consumer practice
- Fluency in a second language
- Experience with client intake or high-conflict scheduling environments
Compensation and Schedule
- $21.00 to $24.00 per hour, based on experience
- Full time, in office, Monday through Friday, 9:00 am to 5:00 pm
- Benefits: PTO and Paid Holidays. Health Insurance is negotiable
