Responsibilities
- Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements with precision using Google Calendar and Google Workspace.
- Serve as the first point of contact for internal and external communications, demonstrating professional phone etiquette across multi-line phone systems.
- Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with accuracy and clarity.
- Coordinate special projects and events, including planning logistics, booking venues, managing vendor relationships, and overseeing event execution.
- Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records both digitally and physically.
- Provide personal assistant support by managing personal appointments, errands, and confidential information discreetly.
- Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping.
- Support clerical functions such as photocopying, faxing, scanning documents, and maintaining an efficient filing system.
- Utilize office software tools like Microsoft Office Suite to produce high-quality documents and presentations efficiently.
- Ensure timely follow-up on action items from meetings or communications to keep projects on track.

Requirements
- Proven experience as an executive assistant or in a similar administrative role supporting high-level executives.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and data entry systems.
- Proficiency in Canva, Claude, and Airtable
- Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar is essential.
- Knowledge of bookkeeping software like QuickBooks is preferred but not required; training can be provided for the right candidate.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Exceptional attention to detail with proofreading and transcription skills to ensure accuracy in all documentation.
- Ability to coordinate multiple projects simultaneously while maintaining a positive attitude under pressure.
- Office management experience including filing systems, front desk duties, customer service skills, and multi-line phone system operation is highly desirable.
