ABOUT US
The Gillion Academy is a 7th–12th grade college-preparatory academy and prep program that combines accredited academics, leadership development, and elite basketball training. We are seeking a highly organized Administrative Assistant to help keep our school operating efficiently while providing exceptional service to students, families, faculty, and visitors.
THE OPPORTUNITY
The Administrative Assistant serves as the front-line ambassador for the Academy while providing administrative, operational, and clerical support across multiple departments. This position requires professionalism, confidentiality, excellent communication, and the ability to thrive in a fast-paced school environment.
WHAT YOU'LL DO
Front Office & Administrative Support
- Greet and assist students, families, visitors, and vendors professionally. Answer phones, emails, and direct inquiries appropriately. Maintain calendars, schedule meetings, and coordinate appointments. Prepare letters, reports, forms, and other school documents. Manage office supplies and maintain organized filing systems.
Student & Family Services
- Assist with enrollment packets, registration documents, and student records. Support attendance tracking and student information updates. Communicate professionally with parents regarding routine school matters.
Operations Support
- Assist with event planning, orientations, graduations, and special events. Support Homebase, FACTS, Google Workspace, and Microsoft Office tasks. Maintain confidentiality of student and personnel information. Perform data entry, scanning, copying, and document management. Provide general administrative support to school leadership.
WHAT WE'RE LOOKING FOR
Required
- High school diploma required; associate's or bachelor's degree preferred. 2+ years of administrative, office, or school support experience preferred. Excellent written and verbal communication skills. Strong organization, multitasking, and time-management abilities. Proficiency with Microsoft Office, Google Workspace, email, and office technology. Ability to maintain confidentiality and professionalism. Successful completion of required background checks.
Preferred
- Experience in a school or nonprofit environment. Knowledge of FACTS SIS, Homebase, or similar systems. Customer service mindset with a collaborative attitude.
