Body Shop Parts Coordinator

Position Summary
The Body Shop Parts Coordinator serves as the critical link between the Body Shop and Parts Department, ensuring the correct parts are sourced, ordered, received, organized, and available when needed. This position is responsible for reviewing body repair estimates, verifying part accuracy and compatibility, selecting appropriate vendors, coordinating deliveries, managing parts inventory, and communicating order status and delays to Body Shop personnel.
The ideal candidate is organized, detail-oriented, mechanically knowledgeable, and able to make timely decisions while balancing cost, efficiency, quality, and customer service. This role requires strong communication skills and the ability to thrive in a fast-paced, deadline-driven environment.
Essential Duties and Responsibilities
- Review body shop and insurance estimates to verify that requested parts are correct for the vehicle application.
- Research and procure OEM and aftermarket parts as appropriate using in-house parts catalogs, dealer management systems, parts management software, and outside vendors.
- Verify part numbers, vehicle applications, availability, pricing, and estimated delivery dates before placing orders.
- Determine the best vendor for each order by balancing availability, quality, cost, and delivery requirements.
- Communicate with dealerships, manufacturers, suppliers, and outside vendors to obtain parts and resolve ordering issues.
- Maintain accurate records of parts orders, pricing, expected delivery dates, and received parts.
- Use Body Shop management software and/or dealer management systems to document when parts are ordered and received.
- Receive, inspect, check in, label, and organize incoming parts so they can be located efficiently and promptly.
- Coordinate with Body Shop technicians, estimators, managers, and other personnel regarding parts availability and order status.
- Communicate delivery delays, backorders, incorrect parts, and other issues promptly to the appropriate Body Shop personnel.
- Identify potential parts-related delays and proactively seek solutions to keep repairs moving efficiently.
- Manage returns of unused, damaged, or incorrect parts and ensure credits are processed in a timely manner.
- Maintain accurate inventory and procurement records, including data entry and supporting documentation.
- Assist with shipping, receiving, warehouse organization, and inventory control as needed.
- Operate a forklift safely when required; maintain certification as applicable.
- Maintain a clean, safe, and organized parts storage and work area.
- Follow company policies, safety procedures, and applicable environmental and regulatory requirements.
- Perform other duties as assigned by the Parts Manager or Body Shop Manager.
Required Qualifications
Education and Experience
- High school diploma or equivalent preferred.
- Prior experience in automotive parts, body shop operations, dealership parts departments, logistics, inventory management, or a parts warehouse preferred.
- Experience with dealership management systems, Body Shop management software, ERP systems, or parts management software preferred.
- Automotive parts knowledge and a working understanding of vehicle systems required.
- Prior forklift experience and/or certification preferred.
Knowledge, Skills, and Abilities
- Strong knowledge of automotive parts, accessories, and vehicle systems.
- Ability to identify and verify correct parts for specific vehicle applications.
- Understanding of inventory management, procurement, logistics, sourcing, and supply chain processes.
- Strong computer skills, including the ability to use inventory systems, parts catalogs, email, and Microsoft Office applications.
- Strong organizational skills and exceptional attention to detail.
- Ability to prioritize multiple orders and deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills, particularly when dealing with unusual parts or repair circumstances.

- Ability to lift and move automotive parts and equipment as required.
- Ability to work safely in a warehouse, body shop, and automotive service environment.
- Ability to work for extended periods in a fast-paced environment while maintaining accuracy and attention to detail.
