We’re a busy dental practice seeking a reliable, detail-oriented coordinator to support both front-desk operations and insurance/billing tasks. This role balances patient-facing duties: answering phones, checking patients in/out, and scheduling appointments, with insurance verification, claims, and patient account follow-up.
Compensation is $24 - $30 per hour DOE.
Key responsibilities
Patient-facing / Front Desk
- Greet patients and maintain a welcoming reception area
- Check patients in and out: verify/collect forms, update charts, obtain co-pays and signatures
- Answer multi-line phones, respond to general inquiries, and take messages for clinical staff
- Schedule, confirm, and reschedule appointments using practice management software
- Coordinate daily provider schedules with clinical staff to optimize patient flow and reduce wait times
- Communicate pre-visit instructions, follow-up reminders, and scheduling changes to patients
Insurance, Billing & Accounts
- Verify patient insurance eligibility and benefits prior to appointments
- Post payments, reconcile patient accounts, prepare statements, and manage account collections and payment plans
- Maintain accurate patient billing records and ensure insurance coding and documentation are correct
- Communicate with insurance companies and patients about coverage, estimates, and outstanding balances
- Prepare, submit, and follow up on dental insurance claims; research and resolve claim denials and discrepancies
Compliance & Teamwork
- Maintain patient confidentiality and comply with HIPAA and practice policies
- Collaborate with clinical staff and management to ensure timely documentation and positive patient experiences
- Proactively follow up on outstanding tasks and contribute to continuous office improvements
- Assist with periodic financial and insurance reporting as requested by office management
Qualifications
- 2+ years experience in dental billing/insurance or front-desk dental roles (combination experience preferred)
- Working knowledge of dental insurance plans, CDT procedure codes, and common payer policies
- Experience with dental practice management software (e.g., Oryx, Dentrix, Open Dental) and electronic claims portals
- Exceptional customer-service, follow-through, strong attention to detail, organizational skills, and ability to manage multiple priorities
- Excellent verbal and written communication and skills
- Basic bookkeeping skills for cash/credit transactions
- High school diploma or equivalent
