Position Overview:
We are seeking an experienced and highly organized Office Manager to oversee the daily operations of our behavioral health clinic in Big Rapids. This role is essential to ensuring smooth administrative functioning, excellent patient experience, and compliance with healthcare regulations. The ideal candidate will have prior experience in healthcare or behavioral health settings and be comfortable managing both staff and patient-facing responsibilities.
Key Responsibilities:
- Oversee day-to-day office operations to ensure efficiency and professionalism
- Supervise front desk staff, scheduling coordinators, and administrative personnel
- Manage patient scheduling, intake processes, and client communications
- Ensure accurate and timely insurance verification, billing coordination, and documentation
- Maintain compliance with HIPAA and other healthcare regulations
- Coordinate with clinical staff to support patient care and workflow
- Handle patient concerns, inquiries, and conflict resolution in a professional manner
- Monitor office supplies, vendor relationships, and facility needs
- Assist with staff training, onboarding, and performance management
- Maintain organized records, reports, and internal systems
Qualifications:
- Minimum 2–3 years of office management experience (healthcare or behavioral health preferred)
- Strong understanding of medical office operations and patient flow
- Knowledge of insurance processes, billing, and electronic health records (EHR) systems
- Familiarity with HIPAA and healthcare compliance standards
- Excellent communication and interpersonal skills
- Strong leadership, problem-solving, and organizational abilities
- Ability to multitask and thrive in a fast-paced environment
- Proficient in Microsoft Office and office management software
Preferred Qualifications:
- Experience working in a behavioral health or substance use treatment setting
- Experience with scheduling software and EHR systems
- Bilingual is a plus
