Job Description:
The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), Chief Clinical Officer (CCO),and the Physician President of South Denver Cardiology. This role functions as a central coordination point for executive activities, ensuring efficient communication, scheduling, and execution of organizational priorities.
The Executive Assistant also supports internal engagement initiatives, corporate events, and executive-level meetings, contributing to organizational culture and operational effectiveness.
The role requires discretion, strong organizational capability, attention to detail, and the ability to manage competing priorities in a fast-paced healthcare environment.
Essential Duties & Responsibilities:
- Executive Support
- Provide direct administrative support to the CEO, COO, CCO, and Physician President, including calendar management, meeting coordination, and communication facilitation.
- Prepare agendas, materials, and logistics for executive meetings (e.g., Practice Meetings, Partner Meetings)
- Assist with physician related administrative tasks
- Take meeting minutes and track follow-up actions as needed
- Manage confidential information with a high degree of discretion
- Meeting & Event Coordination
- Coordinate logistics for executive and physician meetings, including room setup, technology, and materials
- Assist with planning and execution of employee engagement initiatives and corporate events
- Arrange catering and hospitality services for meetings and events
- Physician Lounge & Facility Support
- Oversee daily upkeep of the Physician Lounge, including:
- Coordinating provider meals and catering
- Tidying kitchen areas and maintaining cleanliness
- Washing and restocking towels
- Stocking food, beverages, and supplies
- Maintaining refrigerator and inventory levels
- Ensure the lounge environment remains professional, clean, and well-supplied
- Office Operations
- Order and maintain office supplies for the building, ensuring adequate inventory levels
- Coordinate with vendors for supply delivery and facility-related needs
- Support minor operational and administrative needs across the office
- Other duties as assigned
Required Skills/Abilities:
- Strong organizational and time management skills with the ability to prioritize multiple tasks
- High level of professionalism, discretion, and confidentiality
- Excellent written and verbal communication skills
- Attention to detail and accuracy in work product
- Ability to work independently and proactively anticipate executive needs
- Customer service orientation with a focus on supporting providers and leadership
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to coordinate logistics and manage small-scale events effectively
Education and Experience:
- Associate’s or bachelor’s degree in business administration, Healthcare Administration, or related field preferred
- Minimum of 3–5 years of experience supporting senior executives, preferably in a healthcare or clinical environment
- Experience with event coordination, office management, or hospitality support is preferred.
