We are seeking a dynamic and motivated Administrative Assistant to join our team. This position will play a crucial role in the operation of our practice with a focus on administrative tasks. The ideal candidate will be organized, personable, and passionate about mental health advocacy. JOB DESCRIPTION
- Screen incoming calls and emails, providing information and addressing concerns.
- Schedule new/current client appointments efficiently, taking into account therapist availability.
- Verify client insurance coverage and benefits prior to appointments, obtaining authorizations when needed.
- Assist clients in understanding their insurance coverage and resolving billing inquiries in a professional manner.
- Follow up on outstanding claims and resolve any issues or denials.
- Make sure all client insurance is up-to-date to ensure proper billing.
- Maintain accurate client records and ensure compliance with HIPAA and confidentiality regulations.
- Perform a variety of administrative and office support activities for the Office Manager.
- Manage routine patient interactions while collaborating with the treatment providers.
- Prepare and edit documents and letter.
- Refer clients to appropriate inpatient/outpatient programs or psychiatrists.
- Assist with special projects as assigned by the Office Manager.
- Manage the credentialing process for therapists and clinicians with various insurance carriers.
- Prepare and submit credentialing applications, ensuring all required documentation is complete and accurate.
- Monitor the status of credentialing applications and proactively follow up with insurance companies as needed.
- Maintain up-to-date records of provider credentials, licenses, and malpractice insurance information within established databases (CAQH).
- Managing and coordinating client appointments and calendars to ensure smooth scheduling processes.
- Adding the clients to our EMR system (Therapy Notes), adding the correct billing information, sending the clients the appropriate intake forms.
- Updating our spreadsheets accordingly. (Attention to detail is a MUST)
- Explaining the intake process and answering inquiries about services.
- Responding to client inquiries via phone, email, or in person, providing helpful and empathetic assistance.
- Other duties as needed.
You’ll also be an active participant in our weekly treatment team sessions, where providers share the ups-and-downs of their cases that week, as well as any lessons learned, tips and tricks, etc. You will be expected to share your recent experiences too! This will allow us all to better understand each other’s roles and provide useful feedback.
Most important of all, you must be reliable, trainable, trustworthy, discrete, professional, punctual, and courteous.
You will be required to work Monday through Friday from 8am - 2pm or 9am - 3pm (you can choose your schedule).
EXPERIENCE
Two or more years of current experience in customer service, hospitality, and/or office administration is a must. Previous experience in the medical field is a plus, but not required.
Two professional references are required. While not necessary, we do prefer your references to be from persons as closely related to the substance of this job description as possible.

Bilingual in English and Spanish is required – no exceptions.
