Job Overview
We are seeking a dynamic and organized Assistant Office Manager to join our team and help streamline daily operations within our office environment. Responsibilities
- Assist in managing daily office operations, including front desk and back office duties and administrative support
- Coordinate and schedule meetings, appointments, and events with attention to detail and timeliness
- Oversee vendor management activities, including maintaining supplier relationships
- Support human resources functions such as onboarding new staff, maintaining personnel records, and assisting with training & development initiatives
- Maintain organized filing systems for confidential documents, client information, and office records
- Supervise clerical staff when applicable; provide guidance on administrative procedures and workflow improvements
- Handle client communication professionally via phone, email, or in person; ensure excellent customer service at all times
- Assist in budgeting activities by monitoring expenses and preparing reports for management review
- Manage office supplies inventory and coordinate procurement efforts to ensure operational efficiency
Experience
- Proven experience in office management or administrative roles within a professional environment
- Supervising experience demonstrating team leadership capabilities
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with spreadsheets and document management tools
- Prior experience with bookkeeping, payroll processing, and basic accounting principles
- Knowledge of vendor management processes
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional communication skills—both verbal and written—with a professional phone etiquette
- Experience handling confidential information with discretion and integrity
- Ability to manage multiple projects simultaneously while maintaining attention to detail
- Background in management in a medical office especially using ModMed/EMA
