Duties and Responsibilities
- Serve as primary administrative support for active awards:
- Coordinate award set-up and modifications, including subawards, in collaboration with the Office of Sponsored Programs.
- Manage award finances, in collaboration with Fiscal Shared Services, including budget tracking, forecasting, expense review, reporting, subrecipient monitoring, and resolution of deficits or accounting issues.
- Meet regularly with principal investigators and Fiscal Shared Services to review financial status, project progress, and compliance requirements, to inform planning and decision-making.
- Leverage data provided by Fiscal Shared Services to support the timely submission of financial and technical reports and assist with award closeout.
- Assist with grant-funded hiring, participant support payments, procurement coordination, and logistics for grant-related events.
- Support audit preparation and resolution of compliance issues.
- Serve as liaison with Fiscal Shared Services, Budgeting, and Human Resources.
- Support the preparation, review, and submission of grant and contract proposals with departments, the Office of Research Development, and the Office of Sponsored Programs, ensuring sponsor and institutional compliance.
- Monitor compliance with financial and grant guidelines in collaboration with internal teams and University partners.
- Evaluate workflows, recommend process improvements, and contribute to initiatives that strengthen research infrastructure and institutional competitiveness.
- Build collaborative relationships across campus to serve as a trusted resource for grant-related activities.
- Develop best practices and provide grant and fiscal-related training and workshops.
Required Qualifications – Experience, Education, Knowledge & Skills
- Bachelor’s degree or an equivalent combination of relevant education and experience.
- Demonstrated fiscal management experience, including preparing and monitoring budgets and financial reports.
- Experience applying and interpreting applicable institutional, local, state, and federal regulations and related standards, guidelines, and policies.
- Demonstrated experience using computerized accounting systems, spreadsheets, databases, and word processing software to establish and maintain detailed record-keeping systems.
Preferred Qualifications – Experience, Education, Knowledge & Skills
- Master’s degree in a related field.
- Demonstrated experience with project management, including data collection/management, compliance oversight, and competing priorities.
- Knowledge of applicable College and University policies and procedures.
- Demonstrated experience with grant writing and reporting.
