Job Summary
We are seeking a dynamic and detail-oriented Shipping Assistant Specialist to join our logistics team. The Shipping Specialist is responsible for overseeing daily shipping operations, ensuring that customer orders are processed accurately and delivered on time. This role requires close coordination with internal teams, external carriers, and customers to maintain seamless shipping processes and meet production goals.
Key Responsibilities:
1. Shipping Operations and Scheduling
Develop and execute the Daily Shipping Schedule to align with customer orders and JIT (Just-In-Time) delivery requirements.
Monitor stock availability and ensure that necessary materials and packaging are ready for shipment.
Direct subordinates to prepare truckloads according to each JIT delivery hour.
Oversee the shipping process and provide support as needed to ensure smooth operations.
Communicate with carrier dispatch offices to schedule trucks and ensure timely pickups.
Coordinate with customers to resolve shipment issues, make corrections, and process claims effectively.
Responsibilities
- Coordinate outbound shipments.
- Schedule pickups with freight carriers.
- Communicate with customers regarding shipping status.
- Prepare Bills of Lading (BOLs), packing lists, and shipping documents.
- Maintain shipping records and ERP data.
- Assist the Shipping Manager with daily logistics operations.
- Resolve shipping issues with customers and carriers.
2. Inventory and Packaging Management
Manage and control various types of containers, including returnable, expendable, and inner dunnage packaging.
Ensure container availability and maintain organized tracking systems.
Monitor Advanced Shipping Notices (ASN) and ensure that all shipment documentation, including Packing Slips and Bills of Lading (BOL), is filed accurately.
3. Quality and Customer Compliance
Ensure that all parts are shipped in the correct sequence and delivered to customers on time.
Maintain high accuracy of Advanced Shipping Notices (ASN) and resolve errors promptly.
Provide training and cross-training to team members.
Implement and maintain procedures to keep customer scorecards at or near 100%.
Leadership and Team Collaboration
4. Team Supervision and Development
Review, audit, and submit accurate time and attendance records.
Collaborate effectively with other teams to ensure clear communication and improved efficiency.
Resolve maintenance issues promptly by coordinating with the maintenance team.
Supervise, train, and monitor subordinates to ensure consistent performance.
Conduct performance appraisals and recommend appropriate training, development, or disciplinary actions.
5. Safety and Compliance
Enforce adherence to safety protocols for both self and all production associates.
Ensure that team members complete necessary training and comply with all safety regulations.
Requirements and Qualifications:
Proficiency with office tools such as Microsoft Word, Excel, email, and scanning equipment.
Ability to learn and use customer web applications (e.g., SMART, eSupplierConnect).
Strong product and process knowledge, with a demonstrated ability to learn quickly.
Willingness to work overtime, including weekends and holidays, to accommodate unexpected customer demands.
Knowledge of basic labor laws and the ability to apply them effectively.
Demonstrates reliability, dependability, and a strong work ethic.
Strong understanding of customer satisfaction principles and the ability to meet and exceed expectations.
Flexibility to adapt to changing circumstances and prioritize tasks effectively.
