Position Summary
We are seeking a warm, organized and persistent Personal Injury Intake Specialist to serve as the first point of contact for prospective clients and to manage new matters from the initial inquiry through signed engagement and file opening.
This is primarily a new-client intake and onboarding position. It also includes occasional front-desk and administrative backup. The successful candidate will be comfortable speaking with people who may be injured or emotionally distressed, gathering detailed information, following up consistently and ensuring that nothing falls through the cracks.
Prior legal experience is preferred but not required. We will train a strong candidate in our systems and procedures.
ResponsibilitiesProspective Client Intake
- Respond promptly and professionally to telephone, website and referral inquiries.
- Conduct detailed intake interviews by telephone and in person.
- Gather information concerning the incident, injuries, medical treatment, insurance coverage and other relevant facts.
- Accurately enter intake information into CloudLex and the firm’s intake questionnaires.
- Obtain and organize supporting documents, photographs, insurance information and other materials provided by prospective clients.
- Route potential cases to the appropriate attorney for evaluation.
- Maintain accurate intake notes, follow-up dates and disposition information.
- Follow up consistently and professionally with prospective clients who have not completed the engagement process.
New-Client Onboarding and File Setup
- Prepare, send and track contingent-fee agreements, authorizations and new-client documents through DocuSign or during in-person consultations.
- Confirm that engagement documents are complete and properly executed.
- Open and organize new case files in accordance with firm procedures.
- Prepare HIPAA authorizations, Medicare forms, medical-record requests and other intake-related documents.
- Prepare and send letters of representation to insurance carriers and confirm receipt and acknowledgment.
- Schedule initial consultations, medical appointments and other intake-related appointments as directed.
- Ensure that new matters are promptly and accurately transitioned to the assigned attorney or case manager.
Client Service and Office Support
- Provide front-desk coverage, including greeting clients and visitors and answering, screening and routing incoming calls.
- Communicate with clients in a calm, compassionate and professional manner.
- Provide general, nonlegal information and refer substantive legal questions to an attorney or paralegal.
- Scan, index and route intake-related correspondence and documents to the appropriate file.
- Immediately bring urgent or time-sensitive matters to the supervising attorney’s attention.
- Assist attorneys and paralegals with intake-related administrative assignments as needed.

Required Qualifications
- High school diploma or equivalent.
- At least one year of experience in a client-facing position, such as legal services, medical services, insurance, hospitality, scheduling, sales or customer service.
- Excellent verbal and written communication skills.
- A calm, patient and empathetic telephone manner.
- Strong attention to detail and commitment to accurate data entry.
- Ability to manage several open matters and follow-up obligations simultaneously.
- Strong follow-through and the ability to complete tasks without repeated reminders.
- Proficiency with Microsoft Word and Outlook and the ability to learn CloudLex, DocuSign and other software.
- Ability to protect confidential information and exercise sound judgment.
- Professional, dependable and client-ready demeanor.
- Ability to work full-time and on-site at our Sugar Land office.
Preferred Qualifications
- Bilingual fluency in English and Spanish.
- Previous personal injury, workers’ compensation, insurance or medical-intake experience.
- Previous experience working in a law office.
- Experience with lead follow-up, client onboarding or customer relationship management.
- Familiarity with CloudLex or another legal case-management platform.
- Experience with medical-record requests, HIPAA authorizations and insurance claims.
Compensation and Benefits
- Pay: $20–$25 per hour, depending on experience and qualifications.
- Full-time, on-site position.
