Position Summary
The Executive Administrative Assistant serves as a trusted partner to the Chief Executive Officer and executive leadership team by providing exceptional administrative, organizational, and operational support. This position is responsible for ensuring the efficient day-to-day operation of the executive office while maintaining the highest level of professionalism, confidentiality, and discretion.
The ideal candidate is proactive, highly organized, detail-oriented, and capable of anticipating the needs of leadership. They possess outstanding communication skills, exercise sound judgment, and thrive in a dynamic environment where priorities may change quickly.
This is a full-time, on-site position located in Wichita, Kansas.
Key Responsibilities
- Provide comprehensive administrative support to the CEO and executive leadership.
- Manage complex calendars, schedule meetings, and coordinate appointments across multiple departments and external partners.
- Coordinate travel arrangements, conference registrations, lodging, and itineraries.
- Prepare, proofread, and format correspondence, reports, presentations, meeting agendas, and other executive documents.
- Serve as the first point of contact for visitors, board members, government agencies, community partners, and other stakeholders while maintaining a professional and welcoming environment.
- Screen and manage incoming phone calls, emails, and other communications, ensuring timely responses and appropriate follow-up.
- Organize and maintain confidential files, records, and executive documents in both electronic and physical formats.
- Coordinate executive meetings, including preparing meeting materials, taking minutes, tracking action items, and ensuring timely follow-up.
- Assist with Board of Directors meetings by preparing agendas, compiling board packets, maintaining official records, and supporting meeting logistics.
- Support organizational projects, grant activities, and special initiatives as assigned.
- Maintain office supplies and coordinate with vendors and service providers as needed.
- Assist with internal communications and help coordinate company events, trainings, and employee engagement activities.
- Recommend and implement administrative process improvements that increase efficiency and organization.
- Perform other administrative and executive support duties as assigned.
Qualifications
Required
- High school diploma or equivalent.
- Minimum of three years of administrative support experience, preferably supporting executive leadership.
- Excellent written and verbal communication skills.
- Exceptional organizational skills with strong attention to detail.
- Demonstrated ability to manage multiple priorities while meeting deadlines.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to work independently while collaborating effectively with a diverse team.
Preferred
- Associate's or Bachelor's degree in Business Administration, Public Administration, Communications, or a related field.
- Experience working in a nonprofit organization, workforce development, government-funded program, or similar environment.
- Experience supporting executive leadership and Boards of Directors.
- Familiarity with grant-funded organizations and federal compliance requirements is a plus.
