Purpose This position is responsible for recruiting, confirming schedules, accurate scheduling of qualified caregivers based on all new and current clients and any other administrative support tasks that may be assigned from time to time. The position will be held in our San Diego, Oceanside office.
Job Description:
- Organizes and prepares work schedules for employees to ensure the appropriate number of staff is available for each work shift.
- Approving and scheduling time off for employees and ensure vacant positions are filled to meet staffing requirements.
- Implementing various strategies in recruiting caregivers.
Essential Functions:
Human Resources
- Caregiver recruiting including pre-screening candidates, interviewing and background/reference checks.
- Schedule and assist in conducting new hire orientation.
- Assists in the orientation of new employees, explaining the requirements of work shifts and hours, as well as training new employees on systems or programs used to report work hours.
- Maintain personnel files and track required certification.
- Participates in client case conferences as requested by immediate supervisor.
- Inconsistencies, job vacancies and scheduling concerns are reported to management to address.
- Report any issues such as abuse, neglect and exploitation, medication and/or housing needs to the supervisor.
- Documents client complaints and report to Client Care Managers.
Scheduling
- Schedules shifts and hours by matching caregiver qualifications and availability to client’s needs.
- Communicates new assignments and/or schedule changes to caregivers and clients.
- Works with Client Care Managers to assist in resolution of employees staffing issues.
- Maintain scheduling by inputting and updating client and caregiver information via scheduling system.
- Contact and follow up with caregivers and clients regarding assignments, inquiries, and service.
Reporting
- Processes either manually or via computer, the data necessary to initiate accurate payroll and billing processes.
- Computes wages and records data for use in payroll processing and competitive rate studies.
- May assist with the input, verification, and release of billing and payroll information as well as the assembly of data for financial reporting purposes.
- Creates and maintains daily staffing reports, which include verifying employees' work hours, requested time off, as well as job vacancies.
- Reporting responsibilities also include verifying employee work hours with the payroll department on a routine basis to ensure payroll is disbursed accurately.
Administration
- Office administration including filing and organizing new-hire paperwork.
- Maintains company database of caregivers and clients and ensures that data is accurate and up to date.
Job Qualifications
- Knowledge of common medical terminology.
- Highly professional with a friendly personality
- Must be able to work as a team and under time pressures.
- Able to work independently, demonstrating sound judgment.
- The position requires managing multiple demands simultaneously each day.
- Be available as required for on-call duty outside of normal office hours.

Work Experience
- Two years experience in scheduling caregivers in-home health care required.
- Closely related medical experience and training or equivalent combination may be substituted.
Education
- High School diploma or GED
