We are seeking a detail-oriented and organized Office Assistant to support our administrative team. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite, Google Workspace, and other office management tools for daily tasks
- Schedule appointments, manage calendars, and coordinate meetings using calendar management software
- Provide exceptional customer support through phone etiquette and personalized assistance
- Handle billing, bookkeeping, and QuickBooks entries to support financial record-keeping
- Assist with office management duties such as organizing supplies, maintaining cleanliness, and supporting administrative projects
- Support medical or dental reception duties as needed, including patient check-in and appointment scheduling
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask effectively
- Excellent written and verbal communication skills; bilingual abilities are a plus
- Experience with office management systems, data entry, filing, and proofreading
- Familiarity with QuickBooks, bookkeeping, and basic accounting practices
- Customer service experience with professional phone etiquette and support skills
- Ability to handle multi-line phone systems efficiently and courteously
- Strong time management skills to prioritize tasks effectively
- Previous clerical or administrative experience preferred; personal assistant or medical receptionist experience is advantageous
- Demonstrated computer literacy with the ability to adapt to new software tools quickly
Pay: $17.00 - $22.00 per hour
Expected hours: 40.0 per week
