Position Overview
The Business Operations & Bookkeeping Coordinator will support daily business operations, financial management, sales administration, customer service, and project coordination. The ideal candidate has strong bookkeeping and business management skills, excellent organizational abilities, and can help leadership make informed decisions through budgeting, forecasting, and financial reporting.
Key ResponsibilitiesBookkeeping & Financial Management
- Maintain accurate financial records using accounting software (QuickBooks preferred).
- Manage accounts payable and accounts receivable.
- Reconcile bank and credit card accounts.
- Generate monthly financial reports and dashboards.
- Assist with payroll processing and expense tracking.
- Prepare documentation for tax professionals and accountants.
- Monitor cash flow and identify opportunities for cost savings.
Budgeting & Forecasting
- Develop and maintain operating budgets.
- Create financial projections and cash flow forecasts.
- Track actual performance against budget goals.
- Analyze business performance and provide recommendations.
- Assist with pricing analysis and profitability tracking.
Sales & Customer Service Support
- Manage customer inquiries and assist with booking processes.
- Prepare quotes, invoices, and sales documentation.
- Track sales metrics and customer trends.
- Support lead management and follow-up activities.
- Ensure exceptional customer experiences throughout the sales process.
Project & Operations Management
- Coordinate business projects and ensure deadlines are met.
- Develop and improve operational systems and workflows.
- Track key performance indicators (KPIs).
- Assist with vendor management and purchasing.
- Support strategic planning and business growth initiatives.
- Create and maintain organized digital records and procedures.
Qualifications
- 3+ years of bookkeeping, business operations, office management, or related experience.
- Strong understanding of accounting principles and small business financial management.
- Experience with budgeting, forecasting, and financial reporting.
- Proficiency with QuickBooks, Excel, Google Sheets, and Microsoft Office.
- Excellent organizational and project management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple priorities.
Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred but GED or HS equivalent is ok.
- Experience in a small business or entrepreneurial environment.
- Experience with CRM systems and sales tracking.
- Familiarity with payroll systems and business reporting tools.
