Position Summary
CASA CIS is a nonprofit serving Prince William, Fauquier, Rappahannock, and Warren Counties, with its main office in Manassas. We seek a highly organized, creative, community-minded Events and Outreach Coordinator to plan fundraising events, strengthen community engagement, and support outreach that advances our mission.
The ideal candidate has experience coordinating fundraisers and formal events, manages details from concept through completion, collaborates well across teams, and represents the organization professionally in the community.
Key Responsibilities
Event Planning and Execution
· Plan and execute fundraising and cultivation events, including medium-scale fundraisers and large formal events.
· Develop timelines, production schedules, task lists, seating plans, guest communications, and run-of-show documents.
· Coordinate logistics such as venue, catering, décor, entertainment, audiovisual support, registration, signage, auctions/raffles, setup, and breakdown.
· Manage relationships with vendors, venues, sponsors, donors, guests, volunteers, and staff to ensure a positive event experience.
· Support sponsorship fulfillment, recognition, guest follow-up, post-event stewardship, and evaluations.
· Use or learn platforms such as OneCause, Constant Contact, Little Green Light, and related tools.
· Maintain accurate event, sponsor, donor, guest, volunteer, and outreach records; track budgets, expenses, attendance, donations, and outcomes.
Community Outreach and Engagement
· Identify community events, partnerships, speaking engagements, recruitment opportunities, and fundraising opportunities aligned with CASA CIS’s mission and goals.
· Represent the organization at community events, fairs, partner meetings, and outreach activities.
· Build and maintain relationships with community partners, local businesses, civic groups, volunteers, donors, and prospective supporters.
· Work with leadership and program staff to support outreach priorities and expand awareness and engagement.
· Track outreach activities, contacts, outcomes, and follow-up needs.
Marketing and Communications Support
· Collaborate with the Marketing team on materials promoting programs, events, recruitment, and fundraising initiatives.
· Manage the quarterly newsletter, including content planning, updates, approvals, and distribution.
· Assist with email campaigns, event invitations, donor/sponsor communications, and outreach materials.
· Maintain consistent messaging and branding across communications.
· Support content collection for social media, website updates, flyers, brochures, and presentations as needed.
Qualifications
· Two or more years of experience in event planning, fundraising, development, marketing, communications, community outreach, or a related field.
· Strong written and verbal communication skills with sponsors, donors, guests, vendors, volunteers, and community partners.
· Excellent organization, attention to detail, follow-through, and problem-solving skills.
· Ability to manage multiple projects and remain calm and professional under pressure.
· Comfort using technology and willingness to learn event, donor, and communication platforms.
· Ability to work independently and collaboratively with staff, volunteers, committees, and external partners.
· Availability for occasional evenings and weekends.
Pay: $25.00 per hour
