Position Overview
We are seeking a detail-oriented and organized Purchasing Agent to support our interior design team with the purchasing, tracking, and coordination of furniture, fixtures, accessories, materials, lighting, artwork, rugs, and other project-related items. This role is ideal for someone who thrives in a fast-paced design environment, enjoys working with vendors, and can manage multiple projects and deadlines with accuracy and professionalism.
Key Responsibilities
- Create, process and track purchase orders accurately using QuickBooks.
- Coordinate purchasing for interior design projects, including furniture, fabric, lighting, accessories, rugs, artwork, hardware, and related materials.
- Communicate with vendors regarding pricing, availability, lead times, order status, shipping, backorders, damages, and delivery updates.
- Work closely with designers, project managers to ensure purchases align with project specifications and timelines
- Maintain organized purchasing records, vendor information, invoices , order confirmations, receipts, and project documentation.
- Monitor order progress from purchase through delivery and installation, proactively resolving issues as they arise.
- Review acknowledgments, invoices and vendor statements for accuracy and follow up on discrepancies.
- Assist with sourcing products, requesting quotes, comparing pricing, and identifying cost-saving opportunities when appropriate.
- Support project deadlines by managing multiple orders and priorities simultaneously.
- Provide excellent internal communication and timely updates to the design team regarding purchasing status and potential delays.
Required Qualifications
- Minimum of 2-3 years of purchasing, procurement, order management, or administrative experience required; experience in interior design, furniture, home furnishings, construction, or a related field is strongly preferred.
- QuickBooks experience is required, including creating purchase orders and maintaining accurate purchasing records.
- Strong attention to detail and accuracy in date entry, pricing, quantities, item descriptions, and vendor documentation.
- Excellent organizational and time-management skills with the ability to manage multiple projects and deadlines.
- Strong written and verbal communication skills/
- Proficiency with Microsoft Office, especially Excel and Outlook.
- Ability to work independently with also collaborating closely with designers and project teams.
- Professional, dependable, proactive, and comfortable following up with vendors and internal team members
Preferred Skills
- Familiarity with interior design purchasing processes, trade vendors, showrooms, freight, receiving warehouses, and installation schedules.
- Experience reading product specifications, proposals, invoices, and project schedules.
- Ability to identify and resolve purchasing issues quickly and professionally.
- Comfortable working in a deal line-driven, detail-focused environment.
Work Environment
This position supports an interior design studio and requires strong coordination between the purchasing function, design team, vendors, and project stakeholders. The ideal candidate is highly organized, resourceful, and able to maintain accuracy while working on multiple projects.
