About the Role
We are a growing, multi-service healthcare practice seeking an experienced Office Administrator / Practice Operations Manager to take ownership of our day-to-day administrative operations.
This is a hands-on leadership role. The person in this position will spend a significant portion of each day working the front desk while also managing office operations, staff coordination, systems, and growth initiatives. Dedicated administrative and management time is built into the schedule through planned overlap with additional staff, but the ability to multitask and shift priorities throughout the day is essential.
This role is ideal for someone who enjoys leading from the front, improving systems, and helping a practice run more efficiently while continuing to grow.
Key Responsibilities:
Front Desk & Daily Execution
- Work the front desk for a significant portion of each shift, including:
- Patient check-in and check-out
- Answering phones and scheduling appointments
- Processing payments and handling patient inquiries
- Effectively multitask front desk responsibilities while maintaining oversight of daily operations
- Use scheduled overlap time with a second staff member to focus on administrative, management, and planning responsibilities
Operations & Office Management
- Oversee daily administrative operations of the clinic
- Ensure smooth scheduling, patient flow, and provider support
- Identify workflow inefficiencies and implement practical solutions
- Create, document, and improve office systems and procedures
- Serve as the primary administrative point of contact for ownership
Staff Support & Coordination
- Help manage and support a team of approximately 15 employees
- Assist with staff scheduling, coverage coordination, and onboarding
- Maintain consistency, accountability, and clear communication across the team
- Address operational issues professionally and proactively
- Help with hiring/firing, training, etc
Financial & Administrative Oversight
- Monitor administrative spending and identify opportunities for cost control
- Assist with payroll review, labor utilization, and schedule efficiency
- Manage vendors, supplies, and administrative expenses
- Provide operational insights to ownership to support decision-making
Insurance & Billing Oversight
- Oversee insurance verification, claims follow-up, and AR tracking
- Coordinate with a remote billing/in office billing team
- Support denial resolution and documentation while balancing front desk responsibilities
Growth & Optimization
- Identify opportunities to improve scheduling efficiency and patient utilization
- Help reduce cancellations, no-shows, and administrative bottlenecks
- Support initiatives that increase patient volume and overall revenue
- Contribute ideas that improve the patient experience and office performance
Required Qualifications
- 2+ years of experience in office administration, operations, or management
- Experience managing people, schedules, and workflows in a fast-paced environment
- Strong organizational, problem-solving, and communication skills
- Comfortable multitasking and shifting priorities throughout the day
- Ability to work independently and take ownership of responsibilities
Preferred Qualifications
- Experience in a healthcare, wellness, or service-based business
- Familiarity with insurance-based practices and billing workflows
- Experience with EHR or practice management systems
- Demonstrated ability to identify inefficiencies and implement improvements
Candidates without healthcare experience may still be considered if they demonstrate strong operational leadership, systems thinking, and the ability to learn complex workflows.

Pay: $25.00 - $30.00 per hour
