Position Summary
The Greater Lake Placid Chamber of Commerce is seeking a friendly, organized, and customer-focused Administrative Assistant to join our team. This full-time, in-office position plays a vital role in supporting the daily operations of the Chamber while providing exceptional service to our members, visitors, volunteers, and community partners.
The Administrative Assistant serves as the first point of contact for the Chamber and Visitor Center and assists with office administration, membership support, event coordination, communications, and general office operations.
This position is ideal for someone who enjoys interacting with people, thrives in a fast-paced environment, and takes pride in keeping an office organized and running efficiently.
Essential Responsibilities
Office Administration
- Welcome visitors and provide outstanding customer service.
- Answer and direct incoming phone calls and emails.
- Maintain office organization and supplies.
- Process incoming and outgoing mail.
- Perform data entry and maintain accurate records.
- Assist with filing, copying, scanning, and other administrative duties.
Membership Support
- Assist current and prospective Chamber members.
- Process membership applications, and renewals.
- Maintain member information in Chamber databases.
- Help distribute member information and promotional materials.
Visitor Services
- Provide visitors with information about the Lake Placid area, including Chamber member businesses, local attractions, community events, dining, shopping, and lodging opportunities.
- Maintain visitor displays and brochures.
- Promote tourism opportunities within the community.
Event Support
- Assist with planning and coordinating Chamber events, festivals, networking events, ribbon cuttings, and community programs.
- Help prepare event materials, registrations, and volunteer coordination.
- Occasionally assist with evening or weekend Chamber events.
Communications
- Assist with newsletters, email communications, and social media content.
Financial & Administrative Support
- Receive payments and issue receipts.
- Assist with deposits and basic financial record keeping.
- Maintain confidential information appropriately.
- Support the Executive Director with various administrative projects.
Qualifications
Required
- High school diploma or equivalent.
- Two or more years of administrative or office experience.
- Excellent customer service skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to prioritize multiple tasks in a busy office.
- Professional appearance and positive attitude.
Preferred
- Experience working in a nonprofit organization, Chamber of Commerce, tourism office, or visitor center.
- Experience with social media and basic graphic design (Canva or similar).
- Experience with customer databases or CRM software.
- Event planning experience.
