What Your Job Will Be Like:
The Client Experience Specialist plays a key front-facing role in shaping every client’s first and lasting impression of our firm. As the first point of contact on the phone, by email, mail, and in person, you will be central to creating a warm, professional, and seamless experience for clients, guests, and team members.
Key Responsibilities:
- Phone Management Across Offices:
- Answer and direct incoming phone calls for multiple office locations. Route calls appropriately to attorneys, staff, or voicemail, and take accurate messages when needed.
- Client Intake:
- Record information for clients seeking services with excellence and accuracy to ensure accurate service provision, attorney engagement, and ensure client files are complete, and client documents are maintained with high fidelity.
- Client Reception & Hospitality:
- Greet clients, visitors, and vendors with professionalism and warmth. Ensure that waiting areas and client spaces are consistently tidy, well-stocked, and welcoming.
- Mail & Correspondence:
- Manage incoming and outgoing mail, ensuring that time-sensitive and high-priority correspondence is promptly handled and delivered to the appropriate parties.
Qualifications We Require:
The Client Experience Specialist must be generally optimistic, friendly, accommodating, communicate effectively in difficult situations, possess high emotional intelligence, practice impeccable organizational skills, and always maintain a professional demeanor and appearance. This role must handle sensitive information with discretion, anticipate the needs of clients and the RMC team, and innovatively solve problems. The Client Experience Specialist must be proficient in the Microsoft Office Suite learn/become proficient in the firm’s client management software (Clio Manage and Clio Grow), and type at a minimum of 40 wpm. Candidate must successfully complete an employee background screening possess an active NM Driver’s License.
Qualifications We Desire:
Associate’s degree in an applicable field, Administrative Assistant Certificate, 3 years of patient or client service-related experience, or a combination of education and experience.
Pay: $18.00 - $21.00 per hour
