As we continue to grow, we're looking for an organized, energetic, people-oriented Operations Coordinator to become the communication hub of our company.
Position Overview
The Operations Coordinator plays a critical role in keeping our office, customers, and projects running smoothly.
This position requires someone who enjoys working with people, thrives in a fast-paced environment, and can comfortably juggle multiple projects at once without losing attention to detail.
You'll work directly with the owner, designers, project managers, vendors, subcontractors, and homeowners to help ensure every project progresses efficiently.
Responsibilities
Customer Communication
- Answer incoming phone calls
- Respond to emails
- Schedule appointments
- Follow up with customers
- Keep homeowners informed throughout their projects
- Provide exceptional customer service
Project Coordination
- Assist with scheduling projects
- Coordinate with designers and estimators
- Track project progress
- Help resolve scheduling conflicts
- Order and organize project documents
- Pull permits with local municipalities
- Coordinate inspections when needed
Office Administration
- Maintain project files
- Manage spreadsheets
- Enter and organize information
- Assist with estimating paperwork
- Prepare customer packets
- Support the owner with daily operations
Team Support
- Communicate with field crews
- Coordinate vendors and subcontractors
- Help troubleshoot scheduling issues
- Keep everyone informed on project status
- Assist wherever needed to keep projects moving
