SUMMARY: The focus of the Office Manager at New Hope Presbyterian Church is to provide, manage and lead all office administrative responsibilities, support staff needs, church membership database maintenance and financial/banking reporting, transactions and analysis as required. Ensuring the efficient operation of all office activities, providing support for all church staff and various committees, supervision of assigned personnel and completion of various financial actions is the key focus of this position.
MAJOR RESPONSIBILITIES:
1. Provide and direct, as required, the completion of all administrative requirements of the church office and respond to requests from the staff, church team leaders and Elders as requested. Maintain all appropriate records, documents, files, etc. required for effective administration of the church business.
2. Direct and supervise office staff, either voluntary or paid staff, to ensure the completion of required office needs of the church. This includes the recruitment, scheduling and supervision of support staff as required by church needs. This also includes direction of the custodial staff.
3. Complete all financial tasks as required by normal operations of the church and as requested by the Finance Committee of the church. This includes, but is not limited to:
a. All banking transactions, cash deposits and reconciliation of banking statements.
b. Processing all payroll actions.
c. Completion of all financial statements, balance sheet detail analysis, outreach budget reports, etc. as required for Session meetings, and as might be requested by members of the Finance Committee or staff.
d. Prepare and monitor the church budget and work with required personnel and teams to operate within budgetary requirements.
e. Make improvements in the financial reporting system as needed to improve quality and efficiency.
f. Assist Finance Committee in the annual audit.
4. May be required to analyze options and make certain purchases, resulting in cost effective procurement decisions.
5. Support communications needs by writing announcements/communications, organizing information in various publications either directly, such as New Hope Happenings or the weekly bulletin, or by assisting other staff or team leaders in their communication efforts. Update website as required and assist communications team as needed.
6. Oversee security/master key issues, set door lock schedule as requested and monitor as required.
7. Manage the master schedule of all church activities and facilities use as requested from the various church committees and congregational needs.
8. Assemble and prepare all Session Meetings documents, financial reports and Annual Report as required.
9. Respond to special needs and other undefined duties as requested.
10. Provide all needed documents for monthly Treasurer’s audit.
QUALIFICATIONS REQUIRED:
1. High School diploma with an associate degree in Administration or Finance/Accounting preferred.
2. Knowledge of QuickBooks or similar financial processing software.
3. Working knowledge of all Microsoft Office software (Outlook, Excel, Word, Power Point and Publisher).
4. Good communication and interpersonal skills.
5. Strong organization, scheduling, and planning skills.
6. Ability to be a self-starter and work under minimal supervision completing a wide variety of tasks and responsibilities.
7. Prefer 6 – 10 years of office/financial experience.
SPECIAL CONSIDERATIONS:
1. This position is currently a part time position and will be compensated accordingly per the personnel policies of New Hope Presbyterian Church and the governing elders.
2. At times, there may be special and unexpected requests or needs and it is desired that a successful candidate will have the flexibility to respond accordingly within the regular compensation plan outlined for this position.
Pay: From $23.00 per hour
Work Location: In person
