Alternatives for the Older Adult is seeking a dependable, organized, and compassionate Case Associate to provide administrative and client support across several programs serving older adults and their families.
This position plays an important role in supporting our Care Coordination, Adult Protective Services (APS), Ombudsman, Money Management, and Caregiver Support programs. The ideal candidate enjoys helping people, is comfortable working in a fast-paced environment, has strong attention to detail, and can effectively manage multiple priorities.

What You'll Do
Client & Telephone Support
- Serve as a welcoming and professional first point of contact for clients, families, providers, and community partners.
- Answer telephone calls and respond to visitors with courtesy, professionalism, and a helpful attitude.
- Provide accurate information and connect individuals with appropriate resources and services.
Intake & Referral Support
- Gather and document information for client referrals to Care Coordination and Adult Protective Services.
- Ensure referral information is complete and accurate.
- Assign and distribute referrals to the appropriate Care Coordinator, Caregiver Coach, or APS Caseworker.
- Enter referral and client information accurately into agency databases.
Administrative & Program Support
- Process paperwork for new applications, annual paperwork, redeterminations, temporary service increases, follow-ups, nursing home prescreens, respite services, caregiver services, and supplemental services.
- Complete data entry and communicate necessary information and documentation to providers, insurance entities, clients, and other appropriate parties.
- Prepare and organize paperwork for Care Coordination assessments and services.
- Track outstanding documentation and follow up on missing information.
- Assist Care Coordinators with administrative needs and communicate relevant client information appropriately.
Service & Record Management
- Assist with coordinating and managing individual services, including notifying providers of service information and obtaining effective dates.
- Maintain accurate and timely documentation in client records.
- Initiate and close files and maintain organized electronic and paper records.
- Ensure records are filed appropriately and maintained according to agency procedures.
Quality & Team Support
- Participate in peer review and Continuous Quality Improvement activities.
- Assist with daily administrative tasks such as distributing emails and faxes, copying, filing, and completing end-of-day procedures.
- Work collaboratively with staff across multiple programs to help ensure services run smoothly.
- Perform other duties as assigned in support of the agency's mission.

Required:
- High school diploma or equivalent.
- Strong computer skills and the ability to learn and use multiple databases and software systems.
- Excellent communication and customer service skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and priorities while meeting deadlines.
- Ability to maintain confidentiality and handle sensitive client information professionally.
- Ability to interact positively and professionally with clients, families, providers, and coworkers.
Preferred:
- Two years of education and/or experience in a clerical, administrative, human services, healthcare, or related field.
- Experience working in an office or client-service environment.
- Experience working with databases, electronic records, or other information management systems.
- Bilingual English/Spanish communication skills are highly valued.
