Behavioral Health Intake Specialist
Reports To: Billing / Intake Manager
Position Summary
Are you passionate about helping people connect with the services they need? Family Counseling Service (FCS) is seeking a compassionate, organized, and customer-focused Intake Specialist to serve as the first point of contact for individuals seeking care.
The Intake Specialist plays a critical role in ensuring clients receive timely access to services by managing referrals, coordinating appointments, maintaining accurate records, and connecting individuals with appropriate resources. This position requires strong communication skills, attention to detail, and a commitment to providing an exceptional client experience.

Responsibilities
Client Intake & Access to Services
- Respond promptly and professionally to client and referral source inquiries received by phone, online, or other communication channels.
- Ensure all requests for services are addressed within one business days or less.
- Collect and document client intake information accurately and enter data into the designated software system within 24 hours.
- Verify insurance coverage and eligibility, when applicable, within 24 hours of scheduling an initial appointment.
- Coordinate and schedule appointments in accordance with agency procedures.
- Provide information regarding available services and assist clients in navigating the intake process.
- Connect clients with appropriate community resources and referrals when agency services are not the best fit for their needs.
- Maintain accurate electronic records and ensure timely documentation.
Collaboration & Support
- Serve as a resource to staff regarding intake procedures and access-to-service processes.
- Work collaboratively with multidisciplinary teams to ensure a positive client experience and effective service delivery.
- Attend and actively participate in staff meetings, trainings, and agency initiatives.
- Communicate proactively with supervisors regarding scheduling concerns or workflow challenges.
- Perform other duties as assigned to support agency operations and client care.
Qualifications
Required
- High School Diploma or equivalent required
- Minimum of two years of administrative, customer service, healthcare, or clerical experience preferred
- Experience working with electronic health records (EHR) or scheduling systems is a plus
Preferred Skills
- Bilingual in English and Spanish strongly preferred
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to manage multiple priorities while maintaining accuracy and professionalism
- Knowledge of community resources and referral processes preferred
Physical Requirements
- Frequently required to sit, stand, and walk.

Wage
$20 - $22 per hour based on experience

Monday – Thursday: 8:00 AM – 5:30 PM or Monday – Thursday: 9:00 AM – 6:30PM
Pay: $20.00 - $22.00 per hour
