Duties
- Support project managers by coordinating schedules, tracking progress, and updating project documentation
- Assist with preparing project reports, presentations, and correspondence using Microsoft Office and Google Workspace tools
- Manage calendar appointments, meetings, and deadlines to ensure timely project milestones are met
- Facilitate communication between team members, clients, and vendors through professional phone etiquette and multi-line phone systems
- Organize files, maintain records, and handle data entry tasks, pull permits, issue purchase orders, assist with putting bids together, etc.
- Use office management skills to streamline workflows, improve efficiency, and support overall project operations
- Complete progress billings and invoices, assist with time entry verification for field staff
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint)Teams, Build Ops, and Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Experience with data entry, filing systems, proofreading documents, and maintaining accurate records and contracts
- Exceptional customer service skills combined with professional phone etiquette for customer support and client interactions
- Bilingual abilities are a plus for communicating with diverse teams or clients
- Familiarity with QuickBooks, NetSuite, Invoicing, estimating, sub contractor relations experience is advantageous
- Prior office management or clerical experience preferred
- Strong time management skills to prioritize tasks efficiently and meet deadlines

Pay: $65,000.00 - $85,000.00 per year
