Our fast-paced Immigration firm is looking for a friendly bilingual (English and Spanish) Billing Specialist. The Billing Specialist is responsible for ensuring accurate and timely invoices, payment collection, and audit support. This role involves maintaining financial records, handling client communications regarding billing and payments, and collaborating with team members to improve billing and collection processes. The ideal candidate is detail-oriented, organized, and skilled in managing both client interactions and internal financial systems.

Responsibilites:
Billing and Collections Support:
- Generate, review, and send client invoices in a timely and accurate manner.
- Monitor outstanding balances and follow up with clients via phone, email, and text to resolve payment issues.
- Manage failed automatic payments and coordinate prompt resolutions with clients.
- Maintain and update call lists from hearing schedules and collection/invoice sheets to prioritize outreach.
Audit and Reporting:
- Review of billing data for accuracy and completeness to ensure compliance with internal audit standards.
- Maintain accurate and organized financial records for audit readiness.
- Regularly update collection and billing logs, including Excel tracking sheets and master client lists.
- Report overdue accounts and initiate processes such as 10-day letters when necessary.
Client Communication & Support:
- Respond to and manage incoming client calls and billing inquiries.
- Collaborate with the billing team to resolve complex client issues.
- Ensure a high standard of professionalism and confidentiality in all client interactions.
Process Improvement:
- Identify and implement improvements in billing and collections workflows.
- Assist in creating and refining internal documentation and procedures related to billing and audit processes.
Skills and Qualifications:
- Bilingual in English and Spanish.
- Proven experience in billing, collections, or financial auditing roles.
- Proficiency in Microsoft Excel and other billing software or platforms.
- Strong organizational skills and exceptional attention to detail.
- Effective written and verbal communication skills.
- Ability to manage sensitive information with discretion.
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
